Job Purpose

To provide administrative support to the business unit in routine tasks. To ensure that the customers are well received and that periodic reports are prepared with accuracy and circulated within time. 

Key Accountabilities

Provide administrative assistance:
•    Manage calendars of the Segment Head/Unit head
•    Typing memos, letters, CA’s as and when required.
•    Assist in making presentations for the department.
•    Maintain minutes of meeting (if any), circulate to the members and follow up on action items.
To make arrangements for:
•    Travel and hotel booking for corporate banking team 
•    Customer / internal events (Dinners, conferences etc.) within the defined guidelines.
•    Delivery of gifts and cards for customer occasions
•    Making reservation is hotel for the team and clients
Preparation of various MIS required by the business unit

Organize, coordinate and maintain:
•    Confidential filing system
•    A register for in-bound and out-bound departmental mail, 
•    Attendance records for messengers officers and preparation of scheduled weekly offs as well as rosters
•    Inventory of stationary, kitchen consumables etc are in order and make requisition when required.  
•    Cleanliness of the premises to a high standard and housekeeping•    
Manage the front office and greet customers
•    Email & letter correspondences with customers, as required by the unit
Provide support to the business unit in daily routine tasks as and when required

•    Follow up on trade license, KYC and other client / Bank related documentation
•    Coordinate with other departments i.e. DU, OCU, Central Ops etc..
•    Translation of documents to support business needs.
•    Preparation of daily courier for the unit

High School

Experience and Skills

Professional / Technical qualifications / Diplomas

  • Excellent MS Office skills, e.g. Word, Excel, PowerPoint.
  • Secretarial courses or diploma preferred.
  • Banking Diploma preferred

Work Experience

At least 2-3 years’ experience in a secretarial/ administrative assistant/ coordinator position
